# Publishing Settings

Publishing settings enable you to manage the status and visibility of the submission, including options to designate it as private or anonymous. If response publishing is enabled for the project, you will also see the submission publish status, options to publish or set as 'do not publish,' and flag the submission.

### Private

Click the checkbox to mark the submission as private. Converlens will open a popup confirmation window. Click “OK” and the submission will be marked as private.

To undo this action, click the checkbox again to de-select. Converlens will open a popup confirmation window. Click “OK” and the submission will be marked as public.

**Tip:** Even if response publishing is not enabled, using the private flag can help you identify submissions that should not be quoted in reports or analysis, ensuring you respect the respondent's privacy wishes.

### Anonymous

Click the checkbox to mark the submission as anonymous. Converlens will open a popup confirmation window. Click “OK” and the submission will be marked as anonymous. An anonymous icon will appear in the Submission Details in Submission Reader, and in the Results list in Explore view.

To undo this action, click the checkbox again to de-select. Converlens will open a popup confirmation window. Click “ok” and the submission will be marked as NOT Anonymous (details visible).

**Tip:** Anonymous responses are published without the Display Name. Depending on your survey, you may decide to also hide the respondents answers to other identifying questions. These vary per survey however they can include questions like age, gender, location, postcode and email addresses. ## Response publishing enabled

Once the ability to publish responses has been enabled (see [Configure: Data Spaces - Enable response publishing](/docs/01-03-04-03-01__data-spaces#response-publishing-settings)) new options are available when viewing submissions.

**Tip:** It’s best practice to ensure respondents have been made aware submissions will be public and have given their consent to have their submission published. This is usually done by creating a survey question asking the respondent if they want their reply to be private or public or anonymous. ### Review status

By default all submissions will be ‘Unreviewed’ until selected “Publish” or “Do Not Publish”. Click on a submission to interact with publishing options. Clicking on a submission will open the **Submission Reader** window overlay. On the right hand panel, a list of publishing options are available.

All unpublished submissions will show as Unreviewed in Results with Action Pending in the Submission Reader panel. There are two publishing choices:

* Publish
* Do not publish

### Publish

To publish a submission, click "Publish" in the right-hand panel of the Submission Reader's publishing settings. This action will make the submission public. A public link icon will then appear in the Submission View. Click this link to see the published submission as it will appear to the public.

To unpublish a submission, click “Undo Publish” in the right hand panel of Submission Reader publishing settings. This will immediately unpublish the submission and remove it from the public list of submissions.

### Do Not Publish

If a submission should not be published, click the ‘Do Not Publish’ option and a dropdown menu will appear. Select the appropriate reason as to why this submission shouldn’t be published. After selecting the reason, confirm the Do not publish action by clicking the Do not publish button at the bottom of the list to ensure that this submission will not be publicly available.

Alternatively, if the submission is left as “Unreviewed” and no action is taken it will not appear on the survey website, but will retain the “Unreviewed” status.

### Flag

To apply a flag to the submission, click "Flag" in the right-hand panel of the Submission Reader's publishing settings. To remove the flag from the submission, click “Undo Flag” in the right hand panel of Submission Reader publishing settings. This will immediately unflag the submission.

The "flag" option allows users to mark specific submissions for special attention. Although it primarily applies a prominent red "Flagged" label, this feature can be useful in several scenarios:

1. **Highlighting Important Submissions**: Flag submissions that require further review or immediate action. This can help prioritise significant responses among a large number of submissions.
2. **Identifying Problematic Responses**: Flagging can be used to mark submissions that contain inappropriate content, errors, or responses that need to be addressed by a team member or escalated to a higher authority.
3. **Tracking Follow-Up**: By flagging submissions that need follow-up actions, you and your team can easily keep track of which responses need additional contact or clarification.
4. **Collaboration and Communication**: In a team setting, flagging a submission can signal to other team members that the submission needs attention, review, or discussion, ensuring that no critical response is overlooked.
