About Search & Filter

The Search and Filter tools help refine the results list, making it easier to find specific responses within your dataset.
  • Filters allow you to narrow down responses based on structured criteria, such as survey questions (blocks), status, assignee, tags, and date received.
  • Search enables text-based searching, letting you find responses that contain specific words or phrases.
These tools can be used separately or together to quickly locate relevant responses, streamline analysis, and uncover insights more efficiently.

Where to find Search & Filters

In a project in Converlens, open the Explore tab from the Project Menu. The search bar and filter button are located at the top of the Explore window:

Using Filters

Filters help refine the results list by limiting responses to those that match specific criteria. The +Add Filter button allows you to apply filters based on survey blocks (typically survey questions) and other parameters like status, privacy, and date received. Note: Some filtering options (such as privacy and publishing status) will only be applicable if response publishing has been enabled for the dataspace.

Adding a Filter

  1. Click +Add Filter to open a dropdown list of survey blocks.
  2. Select a block (a survey question or column header in a dataset) to filter by.
  3. Depending on the block type, different filter options will be available.

Filter Options by Block Type

Choice Blocks (Dropdown, Multiple Choice, Matrix, Rank, Data, Yes/No)

  • Is one of / Is not one of – Include or exclude selected options from the filter.
  • +Add (List) – Select from a list of available choices in the dataset.

Scale Blocks (Scale, Rank)

Filter by numerical values based on the scale defined in the survey design.
  • Is exactly – Show responses with the exact value.
  • Is not exactly – Show responses that do not match the exact value.
  • Is more than – Show responses greater than the specified value.
  • Is more than or equal to – Include responses greater than or equal to the value.
  • Is less than – Show responses less than the specified value.
  • Is less than or equal to – Include responses less than or equal to the value.

Text Blocks (Long Text, Single-Line Text, Email, Number, Postcode, File Upload)

Filter responses based on text input.
  • Contains – Show responses that include the entered text.
  • Does not contain – Exclude responses containing the entered text.
  • Is exactly – Show responses with an exact match.
  • Is not exactly – Exclude responses that match exactly.
  • Is empty – Show responses where this field is blank.
  • Is not empty – Show responses where this field has content.

Filter by Status (Available if Response Publishing or Save Progress is Enabled)

If response publishing is enabled in the data space settings, you can filter responses by their publication status:
  • All statuses: Show all responses.
  • Unreviewed: Show responses that have not been reviewed.
  • Reviewed: Show responses that have been reviewed.
  • Published: Show only responses that have been reviewed and published.
  • Not published: Show reviewed responses that were not published.
  • Flagged: Show responses that have been flagged for bad language
If save progress is enabled in the data space settings you can filter responses by their submission status:
  • Drafts Unsubmitted: Show only responses that have been saved but not yet submitted

Filter by Privacy (Available if Response Publishing is Enabled)

If response publishing has been enabled for the data space and responses have been marked as private or public during review, you can filter by:
  • Private and Public: Show all responses.
  • Private: Show only private responses.
  • Public: Show only public responses.

Filter by Date Received

Limit responses based on when they were submitted.
  • Date from: Show responses received on or after the selected date.
  • Date to: Show responses received on or before the selected date.
Tip: Submission dates are displayed in the right-hand column of the results view. These can be edited in Results: Table View.

Add Multiple Filters

You can apply multiple filters simultaneously.
  1. After adding the first filter, click +Add Filter again.
  2. Select additional criteria.
  3. Repeat as needed.

Match ALL or ANY Filters

When multiple filters are applied, you can choose whether responses must match:
  • All filters: Show results that meet all applied criteria.
  • Any filters: Show results that match at least one of the applied criteria.

Removing Filters

To remove filters:
  • Remove an individual filter – Click the (x) next to a filter.
  • Clear all filters – Click Clear Filters at the bottom of the filter list.
Tip: You can save useful filter combinations as Explore views where this option is available.

Using the Search function

The Search function allows you to quickly find responses that contain specific words or phrases.

Search for text terms

The search bar enables text-based searching on the dataset. Enter one or more search terms in the search bar and the results will filter to only those responses with the entered search word(s). Enter one or more search terms into the search bar and click Scan for Related. The system will search the dataset for similar or related words found in responses associated with your search terms. To include a related term in your search, simply click on it. This will update your search, displaying only the responses that contain the selected terms.

Using the ALL/ANY Toggle

When more than one word is entered into the search bar, toggle between searching for all words in the result or any words in the result.
  • All: select this dropdown to only show results with all search words included. The search list will show an ampersand (&) between words.
  • Any: select this dropdown to show results with one or more of the search words included. The search list will show an “or” between words.

Excluding search terms

You can also exclude terms from a search to remove responses containing those terms from the current results.

Search by ID

If you know a submission ID or short ID, use the ID search option to locate that specific response quickly.
